What is Shadow IT

What is Shadow IT?

Eighty percent of employees now use apps their IT department never approved. Meanwhile, only 8% of organisations have full visibility into their own software footprint. That gap has a name: shadow IT. It sounds like a spy movie but, in reality, it behaves more like a slow leak in your company’s roof.

Every business has it. Most just don’t know how much. So let’s define the problem, unpack why it happens, and look at what actually fixes it.

What Is Shadow IT?

Shadow IT means any hardware or software employees use without IT’s knowledge or approval. Think personal Dropbox accounts holding client files. Alternatively, it could be the marketing team paying for a random file-sharing tool with a company card. None of it is malicious. However, all of it is invisible to the people responsible for securing your data.

The scale is staggering. Companies estimate they run about 91 cloud services; the real number averages 1,220. That’s not a rounding error. That’s an entire second IT department operating in the dark.

Why Employees Turn to Shadow IT

Nobody sets out to create a security problem. People just want to finish a task fast. A designer needs to send a huge file, so they grab a free cloud storage app. A remote team wants live document collaboration, so they sign up for something IT never vetted.

Sixty-seven percent of workers admit to bringing personal tools into their jobs. Approved systems often feel slow, restrictive, or missing a feature people need. Shadow IT fills that gap. Unfortunately, convenience and security rarely grow in the same direction.

The Real Shadow IT Risks

Here’s where the story stops being harmless. Shadow IT risks compound slowly until a breach forces everyone to pay attention.

⚠️ Data breaches cost more. When shadow data plays a role in a breach, the average cost jumps to $5.27 million, 16.2% above the baseline.

⚠️ Compliance violations follow closely. At least 53% of organisations reported compliance violations tied to shadow IT in 2025 alone. Unapproved tools rarely meet GDPR, HIPAA, or industry-specific standards. Regulators don’t accept “we didn’t know that app existed” as a defence.

⚠️ Nobody owns the fallout. If an unauthorised app leaks customer data, who responds? IT can’t patch a vulnerability in software it never knew about. That blind spot is exactly why shadow IT is so expensive to clean up after the fact.

Unauthorised Cloud Storage

Among all forms of shadow IT, unauthorised cloud storage deserves special attention. File-sharing habits are where sensitive data most often escapes company control. An employee uploads a contract to a personal account. A freelancer receives a project folder through an unmanaged link. Multiply that across dozens of employees, and you get a scattered, unmonitored archive of your most valuable information.

65% of SaaS applications in active use at companies today are unauthorized.

Storage and file-sharing tools make up a huge share of that shadow footprint, because everyone needs to move files, and few wait for permission.

How pCloud Solves Shadow IT Problems

Here’s the good news: most shadow IT exists because approved tools weren’t good enough. Give people a secure, fast, flexible option, and the shadow version stops looking so tempting.

pCloud Business gives IT teams the visibility that shadow IT strips away. Admins get centralised control over who accesses what, with team permissions and activity oversight built in their pCloud Business. That means no more guessing which files live where, or who shared what with whom.

Security matters just as much as visibility. pCloud uses AES-256 client-side encryption and a zero-knowledge architecture, so files stay unreadable to anyone without the key, including pCloud itself (pCloud Encryption). Combine that with secure file sharing, link permissions, and 180-day version history, and employees get every convenience they were chasing elsewhere, minus the risk.

Instead of banning unauthorised cloud storage and hoping employees comply, offer a legitimate, secure cloud storage alternative that people actually want to use. That’s the real shadow IT solution: remove the reason to go rogue.

A Quick Shadow IT Checklist for IT Teams

  1. Audit current tool usage across every department, not just IT-issued accounts.
  2. Identify the gaps driving employees toward unauthorised apps.
  3. Roll out one approved, secure cloud storage platform for the whole company.
  4. Set clear sharing and access permissions from day one.
  5. Review usage quarterly, since shadow IT regrows fast if left unchecked.

Take shadow IT out of the shadows.
